Orders

An order is what the customer bought, made from an accepted quote. It keeps its own copy of the products, prices and totals, so it stays as sold even if the quote is revised or deleted.

Create an order

  1. Open an accepted quote and choose Create order. (Admins can also have orders created automatically on acceptance.)
  2. The quote’s products, quantities, prices, discounts, tax, shipping and totals are copied, with the account’s billing and shipping addresses, the contact and the owner.
  3. Check the draft: order date, PO number, contact and addresses can be changed.
  4. Choose Activate when it’s confirmed.

  • A quote has one live order at a time. Cancel it to create another.
  • Activated and fulfilled orders can’t be deleted, only cancelled. Deleted drafts go to the Recycle Bin.

Invoice an order

On an activated order, the Invoices list has Create invoice: bill the whole order, what’s left, a percentage (such as a 50% advance) or an amount. The order shows how much is already invoiced and can’t be invoiced for more than it’s worth. See Invoices, GST and payments.

Where orders appear

  • The Orders tab in Sales, with search and a status filter.
  • The Orders list on the quote, the opportunity and the account.
  • Each order has Files and History (status changes and edits).
  • Reports: Orders is a report type. Workflow rules can run when orders are created or changed.
  • Orders follow your profile’s opportunity permissions.
