Real estate: projects, units and bookings
The Real Estate app is for developers and builders. It keeps every project’s inventory up to date, unit by unit. Your team can hold a unit for a buyer, book it and mark it sold, and the same unit can never be booked twice. Each unit has a cost sheet you can send as a PDF. A lead’s budget and preferences show which available units fit them, and their site visits sit on the same page.
Turn on Real Estate
Real Estate is an add-on feature. If you don’t see Real Estate in the app switcher, ask CRMSix support to turn it on for your organization. You can raise a ticket from Help in the app.
Once it’s on, everyone in the organization can open the Real Estate app from the app switcher. Its tabs are Projects, Site Visits, Leads, Contacts, Opportunities, Tasks and Reports.
- Manage real estate.People with this permission set up projects, prices, towers and units. They can also cancel bookings and block units. Admins have it, and so does the standard Manager profile.
- Everyone else.Anyone who works records can hold, book and sell units, open cost sheets, record a buyer’s requirements and schedule site visits.
Set up a project
- Go to Projects and choose New project.
- Enter the name, status (Pre-launch, Launched, Under construction, Ready to move or Sold out), locality, city, RERA registration number and possession date.
- Set the pricing. This includes the base rate per sq ft and the floor rise, an extra amount per sq ft for each floor above a given floor. It also includes the other charges, the GST, stamp duty and registration rates, and how long a hold lasts (48 hours unless you change it).
- Choose Add tower. Give the number of floors and units per floor, plus the unit type and areas. CRMSix creates every unit at once and numbers it by floor and position, so a 12-floor tower with 4 units per floor gets 101, 102 … 1204. A tower can have up to 3,000 units.
- For villas, plots or shops that aren’t in a tower, use Add unit instead.
To change many units together, choose Select units, then click the units on the grid or choose Select the … shown. Then choose Edit selected. Only the fields you fill in change. Use this to set corner units’ preferred location charge, a different type on some floors, or a parking space for every unit.
The inventory grid
A project’s page shows each tower as a grid, with the top floor first. Each unit shows its number, type and all-in price, and its colour shows its status:
| Status | What it means |
|---|---|
| Available | Open for sale. |
| On hold | Kept for one buyer until a set time. When the time passes, it becomes available again on its own. |
| Booked | Booked by a buyer, with the agreed price and booking amount. |
| Sold | The sale is complete. |
| Blocked | Not for sale, for example kept for the landowner. Only people who manage real estate can block or unblock a unit. |
Click a status above the grid to show only those units. You can also filter by tower and type.
Hold, book and sell a unit
- Click a unit to open it. You see its details and its cost sheet.
- Choose Hold, pick the buyer (a lead or a contact) and, if you like, change how many hours to hold it. Nobody else can hold or book the unit until the hold ends or is released.
- When the buyer pays the booking amount, choose Book. Enter the booking amount and the agreed price. If you leave the agreed price empty, it’s the cost sheet’s all-in price.
- When the sale is complete, choose Mark sold.
Only the person who held a unit, or someone who manages real estate, can release the hold or book the unit for that buyer. Only people who manage real estate can cancel a booking, and the unit then becomes available again.
No double booking. CRMSix locks the unit while its status changes. If two people try to hold or book the same unit at the same moment, one succeeds and the other is told the unit is no longer available.
Cost sheets
A unit’s cost sheet works out what the buyer pays:
- Basic price. The area (super built-up, or carpet if there’s no super built-up area) times the rate. The rate is the unit’s own rate if it has one, otherwise the project’s base rate, plus the floor rise for its floor.
- Preferred location charge.A unit’s extra charge for a corner, a park view or a high floor.
- Other charges. Each of the project’s charges is per sq ft, a fixed amount, a percentage of the basic price, or per parking space. Examples are club membership, car parking and the maintenance deposit. Mark a charge optional to leave it out unless it’s ticked on the cost sheet.
- Agreement value. The total of the lines above.
- GST, stamp duty and registration. Each is a percentage of the agreement value at the project’s rates. Stamp duty and registration are estimates, because they depend on the state and the buyer.
Choose Cost sheet PDF to open the cost sheet as a PDF you can download or send. It includes the project, the unit and, if the unit is held or booked, the buyer’s name. Rupee amounts use lakhs and crores (₹1,18,51,840).
Buyer requirements and matching units
A lead’s page has a Real estate card. Choose Add requirements to record the buyer’s budget, the unit types and localities they want, preferred projects, when they need possession, whether they’re buying to live in or to invest, and the smallest area they’ll take.
The card then lists the available units that fit, with the one closest to their budget first. A unit fits when its all-in price is between 90% of the minimum budget and 105% of the maximum. Click a unit to open its cost sheet, or hold or book it for this lead. The card also shows the units the lead has on hold, booked or bought.
Site visits
- On a lead or contact, choose Schedule site visit. Alternatively, go to Site Visits and choose Schedule site visit.
- Choose the project, the time and who takes the visit. Tick Needs a pickup and add the address if you’re sending a cab.
- After the visit, choose Record outcome. Set the status (Completed, No-show or Cancelled), the buyer’s interest (Hot, Warm or Cold) and the feedback.
When a lead’s visit is completed with an interest, the lead’s Rating changes to match, as long as Rating has that value. The Site Visits tab shows upcoming, today’s and past visits. Tick Mine only to see just your own.
Sandboxes
Projects, units, requirements and site visits aren’t copied into sandboxes. Real inventory and real buyers’ bookings stay in production.
