Automotive: stock, test drives and bookings
The Automotive app is for vehicle dealers. It keeps your catalogue and on-road prices, every vehicle in stock by its VIN, and each customer’s test drives and booking in one place. A booking carries the on-road price, the booking amount, the loan and the exchange vehicle, and one vehicle can never be allotted to two bookings. After delivery, CRMSix reminds your team when each vehicle is due for a service.
Turn on Automotive
Automotive is an add-on feature. If you don’t see Automotive in the app switcher, ask CRMSix support to turn it on for your organization. You can raise a ticket from Help in the app.
Once it’s on, everyone in the organization can open the Automotive app from the app switcher. Its tabs are Bookings, Test drives, Stock, Models, Service due, Leads, Contacts, Cases, Tasks and Reports.
- Manage dealership.People with this permission set up the catalogue and prices, add and edit stock, and cancel bookings. Admins have it, and so does the standard Manager profile.
- Everyone else.Anyone who works records can schedule test drives, make bookings, allot and deliver vehicles, and mark vehicles serviced.
Set up your models
- Go to Models and choose New model.
- Choose the vehicle type (car, two-wheeler, three-wheeler, tractor or commercial vehicle) and enter the make, model and variant, for example Maruti Suzuki, Swift, VXi. Each variant is its own model, so it can have its own price.
- Add the fuel, transmission and the colours it comes in, separated by commas.
- Enter the on-road price parts: the ex-showroom price, road tax as a percentage, and the registration, insurance and other charges. The form shows the on-road price as you type.
- Set when the first service is due after delivery (30 days unless you change it) and how often after that (180 days).
A model with vehicles or bookings can’t be deleted. Untick Active instead, and it’s no longer offered for new bookings.
Stock
Go to Stock and choose Add vehicle for each vehicle you receive. Enter its model, VIN (chassis number), engine number, colour, year of manufacture and where it is. Each VIN can be in stock only once. The Models page shows how many of each model are in stock and in transit.
| Status | What it means |
|---|---|
| In transit | On its way from the manufacturer. It can already be allotted to a booking. |
| In stock | At the dealership and free to allot. Days in stock counts from when it was received. |
| Demo | Used for test drives, so it isn’t offered for allotment. |
| Allotted | Kept for one booking. Change it from the booking. |
| Delivered | The customer’s vehicle. It shows on their record with its registration and service dates. |
What a lead wants
A lead’s page has an Automotive card. Choose Add what they want to record the models they like, the vehicle type and fuel, their budget, when they plan to buy, and whether they have a vehicle to exchange or need a loan. The card then lists the active models that fit, cheapest first, with how many are in stock or in transit and whether there’s a demo vehicle.
Test drives
- On a lead or contact, choose Schedule test drive. Alternatively, go to Test drives and choose Schedule test drive.
- Choose the model, the time, who takes it and the demo vehicle. Add the driving licence number. Tick Test drive at the customer’s home or office and add the address for a doorstep test drive.
- Afterwards, choose Record outcome. Set the status (Completed, No-show or Cancelled), the customer’s interest (Hot, Warm or Cold) and the feedback.
When a lead’s test drive is completed with an interest, the lead’s Rating changes to match, as long as Rating has that value.
Bookings
- On a lead or contact, choose New booking, or go to Bookings and choose New booking.
- Choose the model and colour. The price fills in from the model’s list price. Add accessories, extended warranty and any discount, and the booking amount the customer paid.
- If the customer is taking a loan, choose Finance and enter the financier, the loan amount and the loan status as it moves from Applied through Documents pending and Sanctioned to Disbursed (or Rejected).
- If they’re exchanging an old vehicle, tick Exchanging an old vehicle and enter its make and model, year, registration, kilometres and the value you’re offering.
The booking shows the balance to pay: the net price after discount, less the booking amount, the exchange value and the loan.
Allot and deliver
- Open the booking and choose Allot a vehicle. CRMSix lists the vehicles of that model in stock or in transit, with the booked colour first.
- When the vehicle is handed over, choose Deliver, enter the registration number and the delivery date, and choose Mark delivered.
No double allotment. CRMSix locks the vehicle while it’s allotted. If two people allot the same vehicle at the same moment, one succeeds and the other is told it’s already allotted. Return vehicle to stock frees it again, and cancelling a booking does the same.
Only people who manage the dealership can cancel a booking. Choose On-road price PDF on any booking for a PDF with the vehicle, each price line, the discount and the balance after the booking amount, exchange and loan. Rupee amounts use lakhs (₹8,05,000).
How the on-road price is worked out
- Ex-showroom price.The model’s price at the dealership.
- Road tax (RTO).The model’s road tax percentage of the ex-showroom price. Rates depend on the state, so set them for yours.
- Registration, insurance and other charges.Fixed amounts from the model, such as handling, FASTag or TCS.
- Accessories and extended warranty.Added on the booking.
Every line can be changed on a booking, for example when the insurance quote differs.
After-sales: service reminders
When a vehicle is delivered, its first service date is set from the model. Every day, CRMSix makes a task for each vehicle whose service is due within a week. The task goes on the customer’s record and to the consultant who sold it. The Service due tab lists the vehicles due in the next 7, 30, 60 or 90 days, with overdue ones in red.
- Call the customer and book the service.
- When it’s done, choose Mark serviced. The next service date moves on by the model’s interval.
Service to sales
A customer in for a service often asks about a new vehicle. On their contact, or on the Service due tab, choose New vehicle enquiry. CRMSix creates a lead with their details and opens it, ready for a test drive or a booking. It’s marked as having a vehicle to exchange. When a lead with a booking is converted, its bookings, test drives and vehicles move to the new contact.
Sandboxes
Models, stock, bookings and test drives aren’t copied into sandboxes. Real customers’ bookings and vehicles stay in production.
