Zoom

Connect your organization’s Zoom account once, and anyone can add a Zoom meeting to a CRMSix meeting with + Zoom. The link goes out in the invitation, and changing the time or deleting the meeting updates Zoom too.

How it works

  • One click. On a meeting, choose + Zoom. When you save, CRMSix creates a scheduled Zoom meeting with the same subject, time and description, and the join link becomes the meeting’s video link.
  • In the invitation.Attendees get the Zoom link in the calendar invitation CRMSix emails, and everyone sees a Join link on the meeting.
  • Kept in step.Move the meeting or change its subject, and the Zoom meeting moves too. Remove the link or delete the meeting, and the Zoom meeting is deleted.
  • Your own Zoom account.Meetings are created on your organization’s Zoom account, under your Zoom plan. CRMSix adds no charge.

Connect Zoom (admins)

You need to be an admin of your Zoom account, and have the Manage Users permission in CRMSix.

  1. Sign in to the Zoom App Marketplace (marketplace.zoom.us) and choose Develop → Build App, then Server-to-Server OAuth app. Give it a name, such as CRMSix.
  2. From App Credentials, copy the Account ID, Client ID and Client secret.
  3. Under Scopes, add meeting:write:meeting:admin, meeting:update:meeting:admin, meeting:delete:meeting:admin and user:read:user:admin.
  4. Fill in the app’s information (name, contact email), then choose Activate your app.
  5. In CRMSix, go to Settings → Zoom. Enter the account ID, client ID and client secret, and a default host: the email of a user on your Zoom account.
  6. Choose Connect. CRMSix checks the details with Zoom and shows the default host’s name. The client secret is stored encrypted and never shown again.

Who hosts the meeting

  • The meeting’s owner (Assigned To), when their CRMSix email is a user on your Zoom account.
  • Otherwise the person who added the link, if they’re on Zoom.
  • Otherwise the default host. Pick someone who can start meetings for the team, or a shared meetings user.

Tip: Zoom lets a user host one meeting at a time. If people share the default host, give each salesperson their own Zoom user with the same email as in CRMSix, so they host their own meetings.

Meeting options

In Settings → Zoom, choose how new Zoom meetings start: whether guests can join before the host, a waiting room, and muting guests when they join. Settings locked in your Zoom account’s admin settings win over these. Changes you make to a meeting’s options in Zoom are kept when CRMSix updates its time.

When a meeting changes

  • New time, subject or description: sent to Zoom when you save, and attendees get an updated invitation.
  • All-day meetings get a Zoom link that works at any time, as Zoom meetings need a start time.
  • Link removed (cleared, or replaced with another link): the Zoom meeting is deleted.
  • Meeting deleted in CRMSix: the Zoom meeting is deleted, and invited attendees get a cancellation.
  • A meeting can have Zoom or Google Meet, not both. With Google Calendar sync on, a Zoom meeting is on the owner’s Google Calendar too, and a new time set in Google is sent on to Zoom.

Questions

I don’t see + Zoom on my meeting.
An admin needs to connect Zoom in Settings → Zoom. The button shows while the video link is empty; clear a pasted link to use it. Meetings imported from Google Calendar keep the link from Google.
Saving says the Zoom app is missing a permission.
Add the scopes listed above to the app in the Zoom App Marketplace. Zoom applies them straight away; save the meeting again.
Saving says Zoom didn’t accept the account ID, client ID or client secret.
The app may have been deactivated or its secret regenerated. Enter the current credentials in Settings → Zoom, or choose Check the connection to see what Zoom says.
Can each person connect their own Zoom account instead?
Not yet. CRMSix uses one Zoom account for the organization, and each person on it hosts their own meetings. You can always paste any video link into a meeting by hand.
What happens if we disconnect Zoom?
Links already added keep working, and their Zoom meetings stay in Zoom. CRMSix stops updating or deleting them, and + Zoom disappears until Zoom is connected again.
Does a sandbox create Zoom meetings?
No. The Zoom connection isn’t copied to sandboxes.
