Data Export

Settings → Data Export downloads your organization’s records as a zip file, with one CSV file per object, field history and, if you like, the files attached to cases, chats and quotes. Keep it as your own backup, analyse it in a spreadsheet, or use it to move your data.

Export your data

  1. Go to Settings → Data Export.
  2. In Choose what to export, tick the objects you want (all are ticked to start), or use Select all and Clear. Each shows how many records it has.
  3. Tick Include files to add the files attached to cases, emails, chats and quotes. The checkbox shows how many files there are and their size.
  4. Choose Export now. The page shows what it’s reading; keep it open until it finishes.
  5. The zip is saved to your computer as crmsix-export-<organization>-<date>.zip.

Each CSV has one row per record and one column per field, including each record’s 14-character ID. The files open in Excel, Google Sheets or Numbers (they’re saved as UTF-8, so all languages display correctly).

Privacy and security

  • The zip is built in your browser and saved to your computer. It isn’t stored on CRMSix’s servers.
  • Passwords, sign-in tokens and secrets are never included.
  • An export contains your organization’s data, possibly personal data about your customers: store it securely and delete copies you no longer need.

Export history

Export history on the same page lists every export: when, who, from which IP address, which objects, how many records and files, the zip’s size, how long it took, and whether it completed, was cancelled or failed. An export left running when its browser tab was closed is marked cancelled.

Large organizations

  • Records are fetched in pages, so even large organizations can export; it just takes longer. Keep the tab open and the computer awake.
  • Files can make the zip large. Leave Include files off for a quick export of the records only.
  • Choose only the objects you need for a smaller, faster export.

Using an export

  • Backup: export on a schedule that suits you (for example monthly) and keep the zips somewhere safe. CRMSix also backs up its databases; this is your own copy.
  • Fix data in bulk: edit the Accounts or Contacts file, then use Data Import → Update existing records; the Record ID column finds each record.
  • Analysis: open the CSVs in a spreadsheet, or answer quick questions without exporting using the Query Console.
  • Deleted something by mistake? First check the Recycle Bin: deleted records stay there for 30 days and can be restored.
