Invoices, GST and payments

An invoice bills an order, or one period of a contract. CRMSix numbers it, works out the tax (including Indian GST), emails it with a PDF and a private link, records payments against it, and reminds the customer when it’s due.

Set up invoices (admins)

Go to Settings → Invoices:

SettingWhat it does
Number prefixInvoice numbers are the prefix and a running number, e.g. INV-00001.
Payment termsThe due date is this many days after the invoice date (30 by default).
TaxAs on the order (the order’s tax, scaled for part invoices) or GST (India), below.
Legal name, address, GSTINYour details at the top of every invoice.
Payment instructionsBank account, IFSC, UPI ID: printed on the invoice and shown on the customer’s page.
Payment remindersOn by default, on the due date and 7 and 14 days after it. Use a negative number for a reminder before the due date.

GST (India)

  1. In Settings → Invoices, choose GST, your state, your GSTIN (it starts with your state’s code) and a default GST rate.
  2. On each product, set its HSN/SAC code and GST rate. Products without a rate use the default, which also applies to shipping.
  3. On each invoice, check the customer’s GSTIN and the place of supply. A new invoice for the same account takes them from their last invoice.
  • Same state: CGST + SGST.When the place of supply is your own state, each line’s GST is split in half.
  • Another state: IGST.Otherwise, the whole GST is IGST.
  • Tax invoice.GST invoices are titled Tax Invoice and show both GSTINs, the place of supply, HSN/SAC codes and the tax per line.

Create an invoice

  1. Open an activated order. In its Invoices list, choose Create invoice.
  2. Choose what to bill: the whole order, what’s left, a percentage (for example a 50% advance) or an amount before tax.
  3. Check the draft: dates, contact, addresses, notes and, for GST, the customer GSTIN, place of supply and each line’s HSN/SAC code and rate.

Contracts create their invoices themselves, one per billing period. See Contracts.

Send or issue it

  • Send invoice emails it with the PDF attached and a private link where the customer can view and download it. The PDF is also saved in the invoice’s Files.
  • Mark as sent issues it without email, if you deliver it another way.
  • Copy customer link gives you the private link to share.
Numbers run without gaps. A draft gets its number only when it’s issued, so issued numbers are consecutive, as GST requires. After that, only its due date and notes can change. To correct an issued invoice, Void it (with a reason: its number stays used, and its part of the order can be invoiced again) and create a new one. Drafts can be deleted.

Record payments

  1. On a sent invoice, choose Record payment.
  2. Enter the amount, date, method (bank transfer, UPI, card, cash, cheque or other) and a reference such as the UTR or cheque number.
StatusMeaning
DraftNot issued yet; no number
SentIssued, nothing paid
Partially paidSome paid; a balance is due
PaidPaid in full
OverdueSent or partially paid, and past its due date
VoidCancelled; its number stays used

A payment entered by mistake can be removed. An invoice with payments can’t be voided until they’re removed.

Online payments (Razorpay)

Customers can pay from the invoice link with UPI, cards, net banking or wallets, through your own Razorpay account: the money goes straight to your bank account, and card and UPI details never reach CRMSix.

  1. Sign up at razorpay.com. Test mode works straight away; for real payments, complete Razorpay’s KYC (PAN, bank account, and a website with terms, privacy and refund policies).
  2. In CRMSix, go to Settings → Online Payments. Paste your Razorpay key ID and key secret (from Razorpay’s Account & Settings → API Keys) and choose Test connection.
  3. In Razorpay, add a webhook with the address shown in CRMSix, the events payment.captured, order.paid and payment.failed, and a secret. Paste the same secret in CRMSix.
  4. Tick Accept online payments and save. Start in test mode, then switch to live keys once Razorpay activates your account.
  • Invoice pages and emails get a Pay now button. With Allow part payments on, the customer can pay less than the balance.
  • Each payment is recorded on the invoice automatically, with the method and Razorpay’s payment ID as the reference, and the customer gets a receipt.
  • Recent online payments in the settings lists every payment with Razorpay’s fee, for reconciling. Refunds are made in the Razorpay dashboard.
  • Turn it off at any time with Accept online payments; payments already made stay recorded.

What the customer sees

The private link opens a page with the amount due and the due date, the total and what’s paid, your payment instructions, and the PDF to view or download. No sign-in is needed. Reminders link to the same page.

Where invoices appear

  • The Invoices tab in Sales, with a status filter that includes Overdue.
  • The Invoices list on the order or contract, the opportunity and the account.
  • Reports: Invoices is a report type (unpaid, overdue, paid, balance due). Workflow rules can run on invoices, for example a thank-you task when one is paid.
