Stock counts

Count a warehouse, an aisle or the products due for a check, on a phone or a computer. CRMSix shows the differences and what they're worth, and posts them as adjustments in one step, even if stock moved while you counted.

Requires Inventory. Stock counts is an add-on to Inventory: it works only while Inventory is on for your organization, and turns off with it. Ask CRMSix support to turn both on.

Start a count

  1. Go to Inventory → Stock counts and choose New stock count.
  2. Choose the warehouse and give it a name, such as Month-end.
  3. Choose what to count:
    • Everything in the warehouse: every tracked product held there;
    • Bins starting with…: an aisle or shelf, such as A-;
    • Products not counted recently: a cycle count of those not counted for 7 to 365 days;
    • Chosen products.
  4. Leave Blind count ticked so counters don’t see what’s expected.

The count lists each product (each batch, with Batches and expiry), sorted by bin, with its good stock at that moment.

Count

  • Enter what you count against each line, on any device, and choose Save. Several people can count the same count.
  • Search for a product, batch or bin, or tick Not counted yet to see what’s left.
  • Found something that isn’t listed? Add something found adds it (with its batch number for a batch-tracked product).

Review and post

  1. Choose Send to review. Expected quantities, differences and their value (at average cost) are shown.
  2. Anything wrong? Back to counting to recount.
  3. Choose Post adjustments. Each difference becomes an adjustment with the reason Stock count and the count’s number. Lines left uncounted are skipped, unless you tick Uncounted lines are zero.

Stock can keep moving during a count: posting adjusts by the difference between what was counted and what was expected when the count started, so sales and receipts in between stay right. Counted products get a last counted date, which the cycle count uses. Stock reserved for orders can’t be counted away: release it first. Only good stock is counted; quarantined and damaged stock stays as it is.
